Purpose
Provide users with a clear and updated guide on the new logic for assigning signers for Contract Termination Notice Letters. This change eliminates inconsistencies from the old signing model, ensuring a consistent and optimized experience in generating and signing these documents.
Scope / Limitations
This change applies to the creation of notice letters from:
Employee profile
Notice letter bulk importer
Document generation API
What is signer standardization for notice letters?
Previously, notice letters used an outdated signing model, which caused errors and friction when configuring signers such as supervisors, reviewers, or setting signing order.
With the new standardization:
The modern and flexible signing model used in other documents is adopted.
It is possible to combine signers such as legal representative, supervisors, and other users.
The general configuration of "Allow any legal representative to sign" is respected, enabling open or closed signing as indicated.
The template form is visually aligned with the actual system behavior.
Platform Process
- Creation of notice letters from:
- Employee profile >> End job >> Generate notice letter
If the general configuration "Allow any legal representative to sign" is enabled:
-
Open signing is enabled: any legal representative with an active user can sign.
The option to set signing order in the template is disabled.
An informational popover is displayed clarifying that order does not apply.
If the general configuration is disabled:
Default legal representative (or secondary if applicable) is automatically assigned as signer.
An alert is displayed in the template indicating this logic.
Key Benefits
Flexibility: allows configuring multiple signers, including supervisors, reviewers, and open or closed legal representatives.
