Objective, Scope and Limitations.
This article is designed to guide users with the role ofAdministratororSuperadministratorin creating evaluations within the e-learning courses module in Buk, and in particular to explain how to use the bulk upload of questions from an Excel file
1. Create the evaluation
- In the side menu, go toE-learning Courses → Forms → Evaluations.
- Click onAdd new.
- Fill in the name of the evaluation.
- Check if you want to display acustom text in the header.
Click onBulk upload of questionsto start the template import process.
2. Download and prepare the Excel template
- Download the template from the platform.
- Do not change the column names or remove required fields.
-
Make sure to use the correct format for each question type (single choice, multiple choice, open text, paragraph).
3. How to build the questions in the Excel template
Here are the guidelines for each question type:
Single choice
- Define several options.
- Mark onlyoneas correct.
- Each option occupies one row with the same question statement.
Multiple choice
- Define several options.
- Markallthat are correct.
-
Make sure the system can interpret more than one correct option.
Paragraph
- Write the question statement.
-
Do not include options; the participant will write a free, extensive response.
Open text
-
Similar to paragraph, but usually used for a shorter answer or key concept.
Grading of open-ended questions is done manually, since the system does not assign scores or calculate grades automatically for this type of response.
4. Key validations before uploading the file
- All required columns must be completed.
- Correct options must be clearly marked.
- Do not modify the names of the sheets or columns in the template: the platform expects the standard format.
-
Save the file in .xlsx formatand make sure it has no empty rows or inconsistent data.5. Upload the file to the platform
In the created evaluation, click “Select file” to upload the Excel.
- Then click “Start bulk upload”.
- If the system detects errors, review the marked rows, correct the template, and re-upload it.
- Once uploaded successfully, the questions will appear in the bank and you can edit, reorganize, or delete them if needed.
-
6. Final adjustments and publication.
Set in the advanced options button the time you want to assign to the collaborator to answer the evaluation, the passing percentage, the score calculation method, enable the random questions button (if applicable), and save the changes.
Run a test (ideally an internal user) to verify that the evaluation works as you expect before general deployment.
Run a test (ideally an internal user) to verify that the evaluation works as you expect before general deployment.
-
7. Best practices
Use clear and direct language in the question statements.
Check spelling and style consistency before uploading.
Organize questions by pages if the evaluation is very long (feature “Add page”).
Keep a copy of the original Excel in case you need to reuse or modify it later.
Considerations:
If you receive an error message when uploading or saving an evaluation, check that the Excel file does not have additional columns, that decimals are in the correct format (for example, a dot as the separator), and that there are no special characters in the texts. Correct the indicated errors and try uploading again.
If when saving files, evaluations or surveys you get an error message such as 'An error occurred while saving' or 'the text contains malicious tags', check that the texts do not contain special characters (quotes, symbols) and that the file format is the one specified by the platform.
